Administrative Assistant (FullTime) Apply for this Job

An administrative position, dedicated to supporting the assigned functional team. Responsibilities include, but are not limited to:

  • Full support of direct supervisor and all direct reports. Support includes:
    • set-up appointments
    • maintain calendars
    • update contacts
    • assist with travel needs
    • prepare expense reports for direct supervisor
  • Maintain PO tracking spreadsheet (update PO numbers, enter amount opened, invoices applied, monies left over), create PO’s and log them as they become available

  • Coordinate onsite/offsite meetings including
    • research and pick locale
    • take care of A/V needs
    • key liaison with offsite staff
    • prepare and handle contracting with facility
    • prepare presentation materials
    • key point of contact for meeting needs
  • Back-up support for the CEO when his assistant is out of the office. (for Executive Assistant level positions only)

  • General office duties (including filing, order department office supplies, etc.)

  • Assist with special projects. Projects given on “as needed basis” and are performed along with regular assistant duties. Examples:
    • Work with HR to set-up interview times/dates/travel for Director of Sales during Sales force ramp up
    • Prepare interview folders for each candidate that includes the day’s schedule, candidate’s resume and a copy of the interview guide
